Getting Started

  1. Onboarding Checklist: This is a printable checklist for your convenience with everything you’ll need to upload to SOLI in order to become eligible for patient assignments.

  2. ATS Policies & Procedures: Review this information as a new hire. This consists of a TON of information that will be reviewed during orientation, but please remember to review as needed if you have questions once you start taking patients. We all refer back to the CMS documentation guidelines often!

  3. ATS Helpful Tools (Before Your First Visit): A quick guide to get prepped for your first visit, review ATS Helpful Tools below for bag technique, bag items, ATS quick guides for Eval Templates and SOC checklists depending on the type of patient you accept in SOLI.

***Be prepared for EVV “Electronic Visit Verification” for Medicaid-only patients

  • The EVV Type required for your patient can be found on the patient chart on SOLI

  • You will need a login and then clock in/out on the EVV system when you see a patient in order for agencies to bill for the visit.

  • Contact the agency directly if you do not yet have a login for the EVV system they use.

See Kinnser Videos for Billing (*), SOC, Evaluations, DC OASIS, infection/incident reporting examples

AGAIN, please check each protocol to know what companies use Alpine Kinnser, etc for documentation

Documentation

Please refer to “ATS General Protocols” for policies of all therapist expectations. Please refer to “Agency Protocols” for agency-specific forms (ie: discharge, consents).

  • ATS mainly utilizes the Alpine Kinnser for a therapist timesheet

  • SOLI to verify visits with signatures

ALL VISIT NOTES, BILLING, AND DISCHARGES ARE DUE WITHIN 24 HOURS OF THE VISIT DATE

ALL OASIS, EVALUATIONS AND RE-EVALUATIONS ARE DUE WITHIN 48 HOURS OF THE VISIT DATE

VITALS ARE REQUIRED TO BE RECORDED AT EVERY SINGLE VISIT!

YOU MUST HAVE A VERBAL ORDERS FOR CREATING OR ALTERING FREQUENCY

Missed Visits

  • A “missed visit” is when a patient declines to be seen per POC set at evaluation after being admitted

  • it is recommended this visit is rescheduled! If a missed visit is reschedule during the same work week, a new updated VO is not required from the doctor. If the missed visit is rescheduled for a future work week, a new updated VO is required from the doctor.

  • Never mark SOCs, Evals, Re-Evals, or DCs as “missed” on Kinnser! Please ask our QA team to delete and input a nonbillable visit or delete the SOC if its a non-admit and input a communication note

  • Vacation Planning: Plan Ahead! For scheduled vacations, suggest 1w1 for frequency the week you will be out. On the missed visit note, “Patient requested not to be seen this week” (assuming they do not want to be seen by another therapist). Documentation “missed visit” note can be completed prior to vacation.

Before Your First Patient Visit & Work Life Balance Recommendations

We want to make sure you have everything you need before treating your first patient! Please review the following home health requirements

  1. We highly recommend downloading a mileage app to keep track of your mileage for tax purposes (Stride or Mileage IQ).

  2. We also highly recommend Google Calendar or an old fashion calendar to schedule your patients and to stay organized.

  3. We recommend Google Voice for a ‘work’ phone to set your hours, establish a secure voicemail for Verbal Orders and patient communication for scheduling. This will help you establish work life balance outside of normal business hours and while on vacation, via vacation voicemail settings.

  4. We recommend a ‘work’ email creation, by creating a gmail account for work. Example: JaymeATS@gmail.com for all SOLI notifications, ATS update emails, etc to establish work life balance outside of normal business hours and automated responses while on vacation. If you want a HIPAA safe email address through Alpine Therapy Services, please discuss with upper management.

  5. We recommend downloading a scan app such as CamScanner to upload documents such as consents, HEPs etc to a patient chart. This is also available on iPhones under the camera app.

  6. Upside is a newer gas app to help keep track of discounted and reimbursable gas as well

  7. Anything you spend money on for ATS, keep the receipts! This is important for tax purposes, including the supplies you purchase. Some agencies will provide basic supplies (PPE, Tongue Depressors, Test Kits, etc), when in question, just ask the ATS Task Force.

Skills Competency Checklist

An HR Team member will be emailing you this to complete within 90 days. It is emailed to you via Dropbox E-Sign to be completed by your Team Expert.

This documentation is used to assesses therapist skills in assessment, diagnosis, treatment, documentation, and professional conduct. It is to be completed by the new therapist and their Team Expert in person or virtually if necessary. It will be uploaded into your SOLI portal once both individuals have signed off on it. For compliance purposes, this checklist must be updated annually.
